Group trips produce a specific kind of chaos: one person books the rooms months ahead, another keeps covering taxis, someone pays for dinner in a currency nobody else has, and on the last night everyone stares at a group chat trying to reconstruct two weeks of spending. The fix isn't a spreadsheet — it's three rules agreed before you leave.
Rule 1: Log it when it happens
Whoever pays, logs it — in the moment, in the currency it was paid in, before the receipt disappears. A shared group that both halves of the trip can see kills 90% of the friction, because nobody is reconstructing anything from memory later. If you're somewhere without signal, use an app that works offline and syncs when you're back — connectivity is exactly what mountain trips and beach towns don't have.
Rule 2: Don't convert currencies by hand
The classic trap: the hotel was in euros, dinners in lira, flights in rupees, and someone "roughly converts" everything at a made-up rate. Small rounding choices compound into real money and real suspicion. Keep each expense in its original currency and let the tool convert at a rate everyone can see — either live rates, or one agreed rate applied to the whole trip when it ends.
Rule 3: Settle once, at the end
Mid-trip settle-ups feel responsible but create noise — money flying back and forth while new expenses keep landing. Let the balance run, then settle a single simplified amount each at the end. Debt simplification matters here: if Asha owes Ben and Ben owes Chris, a good tool collapses the chain so Asha pays Chris directly — fewer transfers, same math.
The awkward cases, handled up front
- Someone skips an activity:split each expense among the people who were actually in it, not the whole group. Per-expense participant selection beats a flat "everyone pays" rule.
- Couples vs singles on rooms: split accommodation by shares (a couple takes 2 shares of the room bill) instead of per-head.
- The big spender: the friend who orders for the table? Exact-amount splits exist for that dinner. Use them and move on.
